Back Office Manager

Performing and managing administrative tasks related to the operation of the company, which employs nearly 130 internal and 6000 temporary staff and coordinating the Back Office team's work.

  • managing the licensing matters which are necessary for the company's operation,
  • managing the yearly ISO 9001 and 50001 audits,
  • coordinating the work and fire safety inspection,
  • facility management: keeping contact with maintainers, cleaning company, etc.
  • procurement tasks: office furniture, stationery, kitchen equipment, coffee machines and free beverages,
  • approval of contracts,
  • conclusion of service contracts,
  • administration of invoices and performance certificate,
  • booking meeting rooms,
  • supporting the branch offices' work,
  • liaising with the external legal team, coordinating the legal work within the company,

In the smaller company of the managing director of Work Force Ltd., which deals with hiring of IT developers, I had office management and HR administration tasks simultaneously with my Back Office work at Work Force.

My responsibilities were the following:

  • keeping contact with companies employing developers and providing resources,
  • liaising with the accounting office and labour department,
  • liaising with the external law firm,
  • liaising with the recruiter colleague,
  • administering entry and exit procedures, preparing employment contracts / terminations,
  • communicate with newcomers,
  • administrate and taking care of working tools equipment for newcomers,
  • administering attendance lists,
  • administering company insurance,
  • financial tasks: administration of account certificates, conclusion of service contracts.
